Privacyverklaring SEPA-bestandscontrole

Waarom wij uw gegevens verwerken

Zij verwerken gegevens alleen in onze opdracht.

Privacy policy (English)

This privacy policy covers SEPA File Check: the checking and repair of SEPA files on bedrijfsboekhouder.com and the SEPA File Check browser extension for Microsoft Edge and Google Chrome. Version of 28 October 2026.

Who we are

SEPA File Check is a service of Bedrijfsboekhouder.com, Einsteinlaan 28, 2289 CC Rijswijk, the Netherlands, Chamber of Commerce no. 78320550. We are the controller of your data. Privacy questions: info@bedrijfsboekhouder.com.

Checking in the browser extension

The extension checks your file entirely in your browser. The file is not sent to us or anyone else and is not stored anywhere. The extension has no access to the websites you visit, uses no cookies and collects no usage or analytics data. Your settings (language, a licence code you enter and whether download notifications are on) are stored only in your browser on your own computer.

Download notification

If you switch on the download notification, your browser asks for your permission first. The extension then only uses the fact that a download has finished and the file name. Your browser keeps that name only while it is open, to show it on the check page. The extension does not read the contents and sends nothing anywhere. You can switch it off at any time.

Repair and conversion

Only when you click Repair file or Convert addresses, or upload a file on our website, is the file sent to our repair service over an encrypted connection. The file contains names, IBANs, amounts and sometimes addresses. We use it only to check and repair it. It is only processed temporarily in memory, not stored on disk, and deleted after you download the repaired file or within 30 minutes at the latest. Information you enter to complete the file, such as a collection date or an IBAN, is treated in the same way and deleted together with the file. To check and complete addresses, the repair service may consult public address registers: for the Netherlands the BAG via PDOK of the Dutch Land Registry, for Germany, Austria, Switzerland and Liechtenstein the OpenPLZ API, for France the Base Adresse Nationale via the IGN Géoplateforme, and for the United Kingdom postcodes.io. Only address data is used for this, no names or IBANs.

Payment and invoice

For payment and the invoice we ask for your name, email address and optionally your company name and VAT number. We ask for your address when the law requires it on the invoice: for an invoice above €100 including VAT (such as the annual licence), when VAT is reverse-charged to you and for customers outside the EU. A VAT number from another EU country is checked via VIES, the European Commission’s system; we keep the result with the invoice. Payments are handled by Mollie. We keep invoices for 7 years as required by law. After a paid repair we send one email asking whether your bank accepted the file; you can unsubscribe. If you give us a rating, we keep it as long as we keep the data of your purchase.

Licence code

If you enter a licence code in the extension or on our website, it is sent to our server to check whether the licence is valid. We link the code to your licence, not to your browser or computer.

Technical data

Like any website, our server records technical data such as your IP address and the time of a request. We use it only for security and to limit abuse, and keep it no longer than necessary for that purpose.

Legal bases

We process your data to provide the service you request (performance of a contract), to comply with the legal retention obligation for invoices, and for the follow-up email and the security of our service on the basis of our legitimate interest.

Sharing

We do not sell data and do not share it for other purposes. We only work with parties needed for the service: the payment provider Mollie, our email service (Google Workspace) and the hosting provider of our server. VAT numbers are checked in the European Commission’s VIES system. They process data only on our behalf. Google may also process data outside the European Economic Area; appropriate safeguards apply, such as the European Commission’s standard contractual clauses.

Accounting firms and associations

If you have files of clients or members repaired as an accounting firm, association or foundation, we process that data on your behalf. On request we conclude a data processing agreement.

Your rights

You can ask us which data we hold about you and have it corrected or deleted, unless we are legally required to keep it. Email info@bedrijfsboekhouder.com. You can also lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
